In a large company, there is usually a significant number of internal business meetings. To assess the effectiveness of these meetings, Microsoft Teams offers an integrated solution, but to enhance the evaluation process, it was necessary to make certain improvements.
For example, adding the capability to select specific questions would allow for the collection of pertinent statistics after each meeting, thereby increasing the efficiency of the assessment process.
Challenges and solutions
To address these challenges, Awara IT Academy, using Power Platform, developed a bot capable of gathering customized feedback following both online and hybrid meetings.
After each meeting, the Bot sends an adaptive card to all invited participants, featuring a list of questions predefined by the meeting organizer.
All responses are stored on SharePoint but remain completely anonymous.
This approach enables the meeting organizer to obtain a comprehensive understanding of participants' impressions without access to their personal information.
Results
An advantage of using an automated feedback collection tool is not only the enhancement of meeting effectiveness but also the potential to reduce the time required for feedback collection by the organizer.
There is no need for manual participant selection, as this task is handled by the bot, whether it involves a mailing list or individual users.
Furthermore, the flexibility to independently choose questions allows for the selection of those that will give the most valuable information about the meeting.
The complete anonymity of data ensures the collection of honest responses.
